Terms and Conditions of Hire

The following Terms and Conditions apply to all bookings of the Eliot Hall. We ask that you read them, and confirm on the booking form that you have read and understand them.

  1. It is the responsibility of the hirer to ensure that the following terms and conditions are understood and adhered to. Booking of the hall constitutes an agreement of these terms and conditions.
  2. It is illegal to smoke in public places, the hall also has a strict no e-cigarette policy. Anyone who breaches this provision will be asked to leave immediately.
  3. The hall is not licensed for the sale of alcohol. If you wish to sell alcohol a TENs license can be applied for.
  4. Bookings can only be made by persons over the age of 18 years. The person making the booking will be responsible for the conduct of all attendees.
  5. All activities must be supervised by a responsible adult at all times.
  6. The maximum number of persons allowed in the building at any time is 100.
  7. Bookings are not secured until payment has been received (unless otherwise agreed) and can be made by cash, cheque or BACS a minimum of 14 days prior to the event, once an invoice has been issued, where possible.
  8. Regular invoices can be provided for repeat bookings.
  9. Hirers must ensure they have scheduled enough time within a booked session to include the setting up beforehand and clearing up after the event.
  10. The use of inflatable devices (e.g. bouncy castles) is not permitted in the hall unless proof of appropriate insurance can be produced.
  11. The hirer is responsible for any damage or loss to the hall during the hire period and for the hall being left in a clean condition. If the hall is left in an unsatisfactory state, or if there is loss or damage, the hirer will be liable and will be invoiced for the costs.
  12. Cleaning and tidying the hall: There are cleaning materials in the kitchen, and brooms and mops in the cupboard adjacent to the kitchen. Users must ensure that the kitchen, including appliances, is left clean and tidy. Crockery and cutlery must be cleaned, dried and returned to its original location. Tables must be wiped and returned to the cupboard and chairs stacked in the corner of the hall. Floors must be swept/hoovered, lavatories and sinks tidy.
  13. Hirers are required to provide their own tea towels .
  14. Hirers are required to provide their own bin bags and remove all of their rubbish from the hall.
  15. When leaving the hall users must ensure that all fire exits are properly closed, and that the kitchen door is locked by dropping the Yale type lock. 
  16. All kitchen equipment must be unplugged. The fridge must be emptied, wiped, and unplugged leaving the door ajar as found.
  17. All light switches and taps must be turned off.
  18. The door to the main hall must be bolted and the front entrance door securely locked.

     Hirers must report any issues relating to the above as soon as possible.  Hirers must familiarise themselves with the fire procedure which can be found on the notice board in the hall and in the porch, or a copy can be provided on request.

FIRE DOORS MUST REMAIN UNOBSTRUCTED AT ALL TIMES.

  1. The hirer must ensure that any electrical equipment brought on to the premises is safe, in good working order and used in a safe manner. The hirer must ensure that no unauthorised heating appliances are used in the hall.
  2. The hall uses a token operated heating system, the cost per token is £2 per hr and can be obtained from the booking secretary, please ensure you have enough tokens for your session.
  3. Drawing pins, adhesive tape and Blu-tack must not be used on walls or paintwork. Absolutely no screws or nails must be driven into the infrastructure.
  4. Toilets must not be used to dispose of cleaning materials or anything that might cause a blockage (wet wipes, nappies, plastic bags etc.). Please report any blockages immediately.
  5. There are 2 parking bays available for the hirer, otherwise the hall has no designated parking. Some kerbside parking is available.
  6. The First Aid Kit and Accident Book are located on the windowsill to the left as you enter the main hall. If any items from the First Aid Kit are used please notify the Booking Secretary so it can be replaced. Accidents must be recorded in the Accident Book.
  7. The hirer is responsible for notifying the Booking Secretary of any accidents, breakages or other issues concerning the running of the hall.
  8. Please respect our neighbours and be as quiet as possible when leaving the hall especially at night.
  9. The Eliot Hall has the right to stop any entertainment or meeting not properly or reasonably conducted.
  10. All users of the hall have a duty to safeguard children and vulnerable users of the hall and its premises.
  11. The Eliot Hall, its Trustees, Committee Members or nominated volunteers take no responsibility for any personal injury to persons or private property caused by negligence of attendees or lack of adherence to these Terms and Conditions.
  12. The hiring agreement constitutes permission only to use the premises as agreed and confers no tenancy or other right of occupancy on the hirer.
  13. The Eliot Hall Committee reserves the right to amend these Terms and Conditions at any time.
